Privacy Policy

VentureX Enterprises Inc. ("VentureX", "we", "us", "our") is an Ontario corporation (Ontario Corporation Number 1000987746). We build brands through social media content for businesses, mainly in the Greater Toronto Area.
This policy explains what personal information we collect through venture-x.ca (the "Site"), why we collect it, who we share it with, and the choices you have. We handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Who is accountable
VentureX has designated a Privacy Officer who is accountable for our compliance with this policy and with PIPEDA.

Our staff, contractors, and crew are bound to handle personal information consistently with this policy, and our service providers are bound by contract to comparable protections.
2. What this policy covers
This policy covers personal information we collect through the Site and through enquiries, bookings, and casting applications that start on the Site.
It does not cover:
- Personal information we handle on behalf of a client as their service provider. When we manage a client's social accounts, respond to comments, or produce content for them, the client is accountable for that information and their own privacy policy applies. We act on their instructions under our services agreement with them.
- Third-party websites and platforms we link to, including Instagram, TikTok, YouTube, Facebook, and LinkedIn. Their policies govern what they collect when you visit them.
- Employment and contractor records, which are handled separately and are not collected through this Site except where you apply through a form described below.
3. What we collect
3.1 Information you give us
Contact and enquiry forms. Your name, business name, email address, phone number if you provide it, and whatever you write in the message field.
Booking a call. Your name, email address, the time you select, your time zone, and any notes you add. Booking runs through Cal.com, embedded in the Site.
Casting and talent applications. If you apply to our creator and actor network we collect your name, email address, phone number, city, and the photos, reels, links, or demo material you submit, plus anything else you choose to tell us such as your availability, on-camera experience, or languages spoken. Applications run through Tally, a form service embedded in the Site. We ask you to confirm you are 18 or older. See section 11.
Correspondence. If you email us, message us on social media, or speak with us on a call, we keep the content of that correspondence and our notes from it.
We ask for the minimum needed for the purpose. Fields that are not required are marked optional, and you can leave them blank.
3.2 Information collected automatically
Analytics. We use Cloudflare Web Analytics to measure traffic: page views, referring site, approximate region derived from IP address, device type, and browser. As configured, it does not set cookies, does not use a persistent identifier that follows you across sites, and does not let us identify you as an individual.
Server and security logs. Our host records standard request data, including IP address, timestamp, requested URL, and user agent. These logs exist to keep the Site running and to detect abuse, and are retained for a short period.
We do not currently run advertising or retargeting pixels on the Site. If that changes, see section 6.
3.3 Information we do not want
Please do not send us, through any form or message, information we have not asked for, in particular health information, financial account details, government identifiers such as a SIN, or information about other people who have not agreed to it being shared. If you send it anyway, we will delete it when we notice it.
4. Why we collect it, and what we do with it
We identify the purpose before or at the time we collect. We use personal information only for these purposes:

If we ever want to use your information for a new purpose that is not listed here, we will identify that purpose and get your consent first, unless the law allows or requires the use without consent.
We do not sell personal information, and we do not disclose it for third-party advertising.
5. Consent
By submitting a form or sending us a message, you consent to us using that information for the purpose it was submitted for. For anything beyond the obvious purpose, we ask for express consent, in clear language, at the point of collection.
You can withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice. Email privacy@venture-x.ca. Withdrawing consent may mean we can no longer provide something, and we will tell you if that is the case. Withdrawal is not retroactive: it does not undo content already published with your permission, which is addressed in section 11.
We do not make providing personal information a condition of using the Site beyond what is needed for the purpose you came for.
6. Cookies and similar technologies
As of the effective date, the Site sets:
- Strictly necessary items only, for security and basic functionality.
- No advertising, retargeting, or cross-site tracking cookies.
The Cal.com booking embed may set cookies of its own when it loads, to run the scheduling widget and remember your selections. That is governed by Cal.com's privacy policy.
The Tally application form on our casting page works the same way: it may set cookies of its own to run the form. That is governed by Tally's privacy policy.
Embedded video and social content, where used, may set cookies when you interact with it.
You can block or delete cookies in your browser settings. Blocking them may break the booking widget.
If we add Meta Pixel, Google Analytics 4, or any other advertising or cross-site tracking technology, we will update this policy and put a consent banner in place before those technologies run. We will not deploy them silently.
7. Who we share it with
We share personal information with a limited set of service providers who process it on our behalf, under contract, only for the purposes we specify. Current providers:

We also disclose personal information:
- To our clients, where you have engaged with us about their brand, or where you are cast in or appear in content produced for them.
- To professional advisors such as our accountants, lawyers, and insurers, in confidence, when needed.
- Where the law requires it, including a valid subpoena, warrant, court order, or a lawful demand from a government authority or regulator.
- To protect people or rights, where we reasonably believe it is necessary to investigate or prevent fraud, a security incident, or a threat to someone's safety.
- In a business transaction, such as a sale, merger, or financing of VentureX. The information would be limited to what is necessary for the parties to assess the transaction, would be subject to confidentiality, and would remain governed by protections at least as strong as this policy. If the transaction completes, we will notify you.
We do not give crew, contractors, or freelancers access beyond what their role requires.
8. Where your information is stored, and access by foreign authorities
Most of our service providers store and process personal information in the United States. This is an important point and we want to be plain about it.
While your personal information is in another country, it is subject to the laws of that country. Courts, law enforcement, national security authorities, and other government bodies in that country may be able to obtain access to it under their own laws, and that access may happen without notice to you and without the protections of Canadian law.
We choose reputable providers, we sign data protection terms with them, and we require comparable safeguards by contract. We cannot, however, override foreign law.
If this concerns you, contact our Privacy Officer and we will tell you what is held where, and where practical we will arrange another way to deal with us, such as by phone or in person.
9. How long we keep it
We keep personal information only as long as needed for the purpose it was collected for, or as long as the law requires.

When information is no longer needed, we delete it or irreversibly anonymize it. Backups are overwritten on their own cycle, so a deleted record may persist in a backup for a short period before it is cycled out.
10. How we protect it, and what happens if something goes wrong
We use safeguards appropriate to the sensitivity of the information, including:
- Multi-factor authentication on the accounts that hold personal information
- Access limited to the people who need it for their role
- Encryption in transit (HTTPS across the Site) and encryption at rest by our providers
- Passwords and secrets held in a manager, never in shared documents
- Reputable providers with their own security programs
No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
Breach response. If a breach of security safeguards creates a real risk of significant harm to you, we will report it to the Office of the Privacy Commissioner of Canada and notify you as soon as feasible, as PIPEDA requires. We keep a record of every breach of security safeguards for at least 24 months, whether or not it was reportable.
11. Minors, casting, and appearing in content
Casting applications are for people 18 and over. We do not knowingly accept talent applications from anyone under 18 through the Site. If we learn we have collected a minor's information through a Site form without a parent or guardian's consent, we will delete it.
Where a minor appears in content we produce, we obtain written consent from a parent or legal guardian before filming and before publication. That is handled offline, on a signed release, not through this Site.
If you are filmed by us or appear in our content:
- We ask everyone who appears on camera to sign a release before or at the shoot. The release, not this policy, sets out what we may do with your image, voice, name, and performance.
- We collect your likeness, voice, and performance, and where you are paid, the information needed to pay you and to meet tax obligations.
- Content produced for a client is typically published by that client on their own channels and may be used in their paid advertising. Once published on a third-party platform, and once distributed as advertising, content can be copied, shared, and archived by others in ways we cannot recall. We will remove content from channels we control and ask the client to do the same, but we cannot guarantee removal everywhere.
- If you want to withdraw, contact privacy@venture-x.ca and we will tell you honestly what we can and cannot undo.
We do not use anyone's likeness in a way the release does not cover.
12. Email and CASL
Canada's Anti-Spam Legislation governs commercial email. We comply with it.
- We send commercial email only where we have your express or implied consent, or where an exemption applies.
- Every commercial email identifies VentureX Enterprises Inc., gives our contact information and mailing address, and contains a working unsubscribe link.
- Unsubscribes are honoured promptly and in any case within 10 business days, and the unsubscribe mechanism stays live for at least 60 days after the message is sent.
- Unsubscribing from marketing does not stop transactional messages about a project you have with us, a booking you made, or a shoot you are cast in.

13. Your rights
Under PIPEDA you have the right to:
Access. Ask what personal information we hold about you, how we have used it, and who we have disclosed it to. We will respond within 30 days. If we need more time we will tell you why and how long, as the law permits. Access is free in ordinary cases; if a request requires substantial effort we will give you a cost estimate first and let you decide before we proceed.
Correct. Ask us to fix information that is inaccurate or incomplete. If we disagree, we will note your disagreement on the file and pass that note to anyone we disclosed the information to.
Withdraw consent. As described in section 5.
Delete. Ask us to delete information. We will, unless we are required to keep it, for example tax records or a signed release that is our proof of permission for content still in use. We will tell you what we kept and why.
Complain. As described in section 14.
There are narrow cases where the law allows or requires us to refuse access, for example where doing so would reveal personal information about someone else, would breach solicitor-client privilege, or relates to an ongoing investigation. If we refuse, we will tell you in writing, give our reasons, and tell you how to complain.
How to make a request. Email privacy@venture-x.ca with enough detail to find your information. We may ask you to verify your identity, and we will not use that verification information for anything else.
14. Complaints
Talk to us first: privacy@venture-x.ca. We will acknowledge your complaint, investigate it, tell you the outcome, and correct what needs correcting.

15. If you are outside Ontario
Quebec. If you are in Quebec, Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25, may give you additional rights, including rights around automated decision-making and data portability. Our Privacy Officer is the contact for those requests.
European Union, EEA, and United Kingdom. The Site is directed at businesses in Canada, and we do not target the EU, EEA, or UK. If you are located there and contact us anyway, we will handle your information under this policy and will honour access, correction, and deletion requests through the same process.
Everywhere else. By using the Site or contacting us, you understand your information will be handled in Canada and the United States as described here.
16. Automated decision-making
We do not use automated decision-making or profiling to make decisions that produce legal or similarly significant effects about you. Casting and hiring decisions are made by people.
17. Changes to this policy
We may update this policy. When we do, we will change the "Last updated" date at the top and post the new version here. If a change is material, for example if we add tracking technology, add a new category of collection, or change who we share information with, we will say so prominently on the Site, and where the change requires it we will ask for your consent before it takes effect.
Previous versions are available on request.
